How to Hire Us as Your Social Media Manager

At IBE Virtual Support, we go beyond just posting on your social media — we help you build a strong, consistent brand presence online.
 

When you hire us, your business will be assigned a Virtual Office Manager (VOM) who leads a specialized team of Social Media Managers, Content Creators, Copywriters, Graphic Designers, and Web Designers.
 

Your VOM will be your dedicated point of contact — communicating directly with you, assigning tasks to the right team members, and performing quality assurance to ensure that every piece of content aligns with your brand’s strategy, tone, and goals.

This helps us understand your business goals, target audience, and content needs so we can recommend the best package for you.

2. Choose Your Package

We offer flexible options designed to match your stage of growth. Select from our three Social Media Management packages:

Essential Package 

​

Perfect for clients beginning to build consistent visibility online.

​

  • 2 static posts + 1 reel/video per week (Mon, Wed, Fri)

  • 12 professionally designed posts/month

  • Captions & hashtags researched and written for engagement

  • Monthly content strategy session

  • Basic community management (engagement & inbox replies)

  • Monthly performance report

 

Growth Package

​

Ideal for clients who want to grow their audience and online credibility.
Includes everything in Essential, plus:

​

  • 2 static posts + 2 reel/video posts per week (Mon, Wed, Fri, Sun)

  • 16 posts per month

  • Weekly engagement and growth monitoring

  • Bi-weekly check-in calls for feedback and direction

 

Elite Package

Best for clients ready to establish thought leadership and maximize visibility.
Includes everything in Growth, plus:

  • 4 static posts + 3 reel/video posts per week (Daily Posting)

  • 30–31 posts per month

  • Story creation & scheduling (up to 5 stories/week)

  • Daily lead engagement (comments, replies, DMs)

  • Priority support & content adjustments

  • Quarterly strategy review & competitor analysis

3. Contract & Billing Setup

Once you have selected your package, we’ll send you two forms to officially start onboarding:

  • Contract Agreement Form – outlines the scope of work, schedule, and service terms.​

  • Credit Card Recurring Form – sets up your secure, automated billing.

​

Once both are signed and submitted, we’ll begin your onboarding process.

4. Schedule Your Kickoff Call 

Your VOM will schedule a Kick Off Call to discuss your brand, goals, posting preferences, and content needs.

5. Slack & Trello Onboarding

You’ll be invited to two tools we use for smooth communication and collaboration:

  • Slack: Daily updates, quick communication with your VOM, and feedback​

  • Trello: Task tracking, content approval, and calendar overview​

  • Tutorial videos are provided if you’re unfamiliar with either tool.

6. Week 1: Branding, Strategy & Mood Board 

During the first week, your VOM and team will focus on:

​

  • Brand Identity & Strategy: Define tone, voice, and audience positioning​

  • Branding Setup or Refresh: Colors, fonts, style, and tone​

  • Custom Mood Board: Visual and communication direction for posts​

  • Social Media Strategy: Tailored plan aligned with your target audience and goals

7. Monthly Content Calendar

After Week 1, your VOM and team will create a full month content calendar. This calendar includes topics, post types, and scheduled publishing dates.

8. Weekly Collaboration Timeline

To keep content production manageable, we follow this weekly process:

​

  • Monday: Your VOM sends weekly content ideas, inspirations, and requests (e.g., photos or videos you need to record).​

  • Wednesday (within 48 hours): You submit all requested files and ideas.​

  • Thursday–Saturday: Our team creates, designs, captions, edits, and schedules posts for the following week.​

  • Next Monday: Content goes live according to your schedule (e.g., M–W–F).

Even though the full month’s calendar is pre-planned, we only require your input for the upcoming week to prevent overwhelm — unless you choose our Videography & Photography add-on, in which case we handle all content creation.

9. Review & Approve Content

Your VOM will send content drafts and captions for approval before publishing to ensure everything aligns with your brand.

10. Engagement & Growth Monitoring

Depending on your package, our team manages:

  • Comments, messages, and community engagement​

  • Analytics tracking and performance reporting​

  • Adjustments to strategy for ongoing growth

11. Regular Check-Ins

  • Essential Package: Monthly review call​

  • Growth Package: Bi-weekly review calls​

  • Elite Package: Priority support with quarterly strategy reviews and competitor analysis

Optional Add-On Services

Professional videography and photography are available for clients who prefer a fully hands-off content creation experience.
