How to Hire Us as Your Appointment setter

At IBE Virtual Support, we do more than just make calls — we help you schedule appointments efficiently using the leads you provide, follow up with prospects, and grow your business pipeline.

When you hire us, your business will be assigned a Virtual Office Manager (VOM) who leads a specialized team of Appointment Setters and Sales Support Specialists.​​

Your VOM is your dedicated point of contact — communicating directly with you, assigning tasks to the right team members, and performing quality assurance to ensure every call and appointment aligns with your brand, messaging, and goals.

1. Fill Out Our Business Inquiry Form

Start by completing our Business Inquiry Form so we can understand your business, target audience, and appointment-setting goals.

2. Choose Your Package

Decide whether you need

 

  • Part-Time Support (20 hours/week)

  • Full-Time Support (40 hours/week).

​

Your VOM and team will tailor workflows and outreach efforts based on your selected package.

3. Contract & Billing Setup

Once you have selected your package, we’ll send you two forms to officially start onboarding:

​

  • Contract Agreement Form – outlines the scope of work, schedule, and service terms.​

  • Credit Card Recurring Form – sets up your secure, automated billing.

​

Once both are signed and submitted, we’ll begin your onboarding process.

4. Strategy & Lead Alignment Session

We’ll schedule a Strategy & Lead Alignment Session — our unique kickoff call where we:

​

  • Customize your appointment-setting script

  • Identify and qualify your target leads

  • Align on metrics, goals, and outreach strategy

5. Slack & Trello Onboarding

To keep everything organized and transparent:

​

  • Slack: For real-time communication, updates, and feedback with your VOM and team

  • Trello: To track leads, schedule tasks, and review progress

Tutorials are provided if you are new to these tools.

6. VOM Preparation & Team Training

Your VOM will take one day to:

​

  • Organize the script and leads

  • Create rebuttals and call guidelines

  • Train and meet with the Appointment Setters on your team

7. Call Execution

The following day, your team will begin making calls according to the approved scripts and schedule. Your VOM monitors progress and ensures quality throughout.

8. Weekly Reporting & Feedback

Your VOM provides a report detailing:

​

  • Calls made and appointments confirmed

  • Appointment outcomes and feedback

  • Recommendations for script or process adjustments

9. Review & Optimization

Regular bi-weekly review sessions with your VOM ensure efficiency:

​

  • Script and rebuttal improvements

  • Workflow optimization

  • Team performance tracking
